Collecting leads and contact information with the chatbot
Your WooShop chatbot can act as a 24/7 receptionist, gathering visitor details like names and emails even when you’re offline. This ensures you never miss a potential sale or inquiry just because you weren’t there to answer a live chat.
Setting up lead collection
Follow these steps to configure your chatbot to ask for contact information:
- Open the AI Assistant settings: Log into your WooShop dashboard and navigate to Chatbot > Settings.
- Enable Lead Capture: Look for the "Lead Generation" or "Contact Form" toggle and switch it to ON.
- Choose your fields: Select the information you need. For most small businesses, Name and Email are enough. If you run a service-based business, you might also want to include a Phone Number or Message field.
- Set the trigger: Decide when the chatbot should ask for info. You can set it to ask immediately when someone opens the chat, or only after the AI has answered a few questions.
- Customize the prompt: Change the default text to match your brand. Instead of "Give us your email," try something like, "Where can we send more information?" or "How should we get back to you?"
- Save and test: Click Save Changes, then open your store in an incognito window to see the chatbot in action.
Real-world scenarios
- The Restaurant Owner: A customer asks about private event catering. The chatbot provides basic pricing and then asks, "Would you like our event coordinator to call you with a custom quote? Please leave your name and number."
- The Boutique Shop: A visitor asks if a sold-out item will return. The chatbot says, "We’re restocking soon! Leave your email and I’ll make sure you get a notification the moment it’s back in the shop."
- The Service Provider: A client asks about your availability. The chatbot shares your general hours and then asks for an email address to send a direct booking link.
Troubleshooting common issues
- I’m not getting email notifications: Check your spam folder first. If the emails aren’t there, ensure your administration email in Settings > General is correct. You can also view all captured leads directly in your Chatbot > Leads menu.
- The chatbot asks for info too early: If visitors are closing the chat window because it’s too pushy, go back to your trigger settings. Set it to "Delayed" so the AI answers one or two questions before asking for an email.
- Fields aren’t showing up: Ensure you have clicked "Save" after checking the boxes for Name or Email. If you use a caching plugin on your WordPress site, clear the cache to see the updates live.
Moving forward
Once you’ve collected a lead, the data is stored in your WooShop database and sent to your inbox. From there, you can follow up personally or add the contact to your email marketing list.
